Everyone Sees Only What They Need: Role-Based Permissions for Your Business's Team

Your receptionist doesn't need to see salaries, and your salesperson doesn't need your passwords. Here's how role-based permissions in a CRM work.

You hired someone to answer calls and book appointments. For them to do their job, you give them access to your system. The problem is that the same system also holds your finances, salaries, the passwords to your platforms and your complete client list with their amounts.

It's not about distrust. It's about order. Nobody on your team needs to see everything, and nobody should be able to delete what isn't theirs to touch.

The problem with all-or-nothing access

With spreadsheets or simple systems, you usually get two options: the person sees everything or sees nothing. That causes real problems:

  • Sensitive information, like salaries and profits, visible to the whole team.
  • One wrong click and someone deletes an invoice or a client.
  • When someone leaves, they take a copy of your client list with them.
  • You don't know who changed what.

Shared access with no rules is convenient at first and expensive later.

How role-based permissions work

In CRM Blides, you don't set permissions for each person individually. You create roles, like Sales, Collections, Front Desk or Management, and each worker gets the role that fits them. If you change a role, it changes for everyone who has it.

Each role is configured with 275 permissions, broken down by action in every module:

  • View: can look at the information.
  • Add: can create new records.
  • Edit: can change what's already there.
  • Delete: can remove things.

So you can say, for example, that Front Desk can view and add appointments on the calendar, but can't see Finances or delete clients.

You create roles, like Sales, Collections, Front Desk or Management, and each worker gets the role that fits them.

"View as this role" before granting access

Setting up permissions blindly is risky. That's why there's a "View as this role" option: you enter the CRM exactly as that person would see it and check what shows up and what doesn't. If something is visible that shouldn't be, you adjust it before your employee logs in.

The menu is also customizable. You can hide modules a role doesn't use, so their screen is simpler and nobody gets lost looking for things.

The security you don't see

Permissions are the visible part. Underneath, there are measures protecting your information even if you never see them:

  • Passwords stored with bcrypt, a method that keeps them unreadable even if someone gets into the database.
  • Sensitive data encrypted, like the passwords to the tools your company pays for.
  • CSRF protection, which stops an outside website from taking actions in your CRM without you knowing.
  • The system on your own hosting: the data belongs to your business.

On top of that, with notes, every entry shows who wrote it and when. That keeps the team organized because everyone signs off on what they do.

Your team inside the CRM

Permissions connect to the Team / HR section: a profile for each worker, salary and payday, extra payments and their CRM user account. You can even post job openings with a public application form. If your salespeople or managers earn commission, it's calculated as a percentage or a fixed amount, and who can see it also depends on permissions. When to start thinking about roles

Yes. Each worker has their own CRM user account, and you control their access from the Team section and their role.
