The client has said yes. Now comes the part that decides whether the first month runs smoothly or with delays: gathering the information. With this checklist, you'll know exactly what to ask your client for and what to send us so we can start producing without any back and forth.
Save it, copy it into your notes or turn it into a form for your clients. The idea is to use it every time you close a sale.
The basics for any client
No matter which service you sold, we always need this:
- Business name and how they want to be called publicly.
- What they do, what they sell and what they most want to sell.
- Who they sell to: type of customer, city or area, language.
- Logo in good quality, preferably PNG or vector.
- Colors and fonts, if they already have them defined.
- Contact details that should appear: phone, WhatsApp, address, hours.
- What was sold: service, scope and the date you promised.
- Delivery language: Spanish, English or both.

What we need for each service
Social media
- Usernames for their Instagram and Facebook accounts.
- Real photos and videos of the business, if they have them.
- Promotions, special dates or launches for the month.
- Accounts they like as a style reference.
- What they don't want to see posted: topics, words or styles.
Ads
- What they want to achieve: messages, calls, visits or sales.
- Which product or service to advertise first.
- The area where they want to get customers.
- An approximate budget for the first tests.
- Access to their Facebook page, Instagram account and ad account.
Website
- Sections they want: home, services, gallery, contact, bookings or store.
- Copy or, at least, the basic information to write it.
- Photos of products, services or the team.
- Domain and hosting, if they already have them.
- Websites they like as a reference.
AI for WhatsApp and Customer Support
- The business's identity and the tone they want to use.
- Goal: selling, booking appointments or answering questions.
- Instructions and rules: what should and shouldn't be said.
- A list of products or services with prices.
- Hours, payment methods and how appointments are booked.
- The WhatsApp number that will be used.

Access without the hassle
Access is what delays a launch the most. This table helps you ask only for what's needed:

This also protects confidentiality: your client gives access to your agency, and you manage the rest.
What we don't need
So you don't waste time:
- We don't need to talk to your client. We never contact them.
- We don't need a perfect brief. We start with the basics and ask you for whatever is missing.
- We don't need formal documents. An organized message and a shared folder work just fine.
Common mistakes when gathering information
After receiving a lot of briefs, these are the slip-ups we see most often:
- Low-quality logos, pulled from a screenshot or a profile picture.
- Photos from the internet that aren't of the business. For social media and websites, the real thing always works better.
- Not clarifying the scope. "Social media" can mean very different things to you and to your client.
- Forgetting restrictions, like topics the client doesn't want to touch or competitors they don't want mentioned.
- Promising a date before having access. Without access to the ad account, for example, ads can't be launched.
How to send it
